Dorchester County Public Schools is accepting applications for a full-time, twelve (12) month Financial Specialist/Administrative Assistant. The successful candidate must be a self-starter, able to work independently, and handle multiple tasks in a fast-paced office environment. This candidate must have a flexible and positive attitude for working in a school environment, interactive with school staff, students, parents, and central office staff on a regular basis. The work covered includes overall clerical tasks and bookkeeping duties. Tasks to be performed while working with student records and finances are deemed confidential.
DUTIES:
- Maintains accurate database of employee attendance records;
- Maintains accurate bookkeeping records for all school accounts utilizing School Funds Online software and Excel;
- Handles all financial school responsibilities, including, but not limited to, payroll, accounts receivable and accounts payable;
- Obtains, gathers, and organizes pertinent data related to the school finances including monthly financial reports (with each club, activity, and leader);
- Composes and types correspondence and reports for review and approval of the principal;
- Composes, and prepares correspondence, reports, notices, and memorandums for distribution;
- Maintains a regular filing system and processes incoming correspondences as instructed;
- Prepares purchase orders and maintains records for school purchases;
- Obtains approval and processes building/facilities use form;
- Performs other duties as assigned.
QUALIFICATIONS:
- Possession of a high school diploma or equivalency certificate; Associates degree in Accounting or Business preferred;
- Three years of increasingly responsible bookkeeping and administrative experience preferred;
- Proficiency in preparing, reviewing, and maintaining a variety of complex accounting records, student records and various reports;
- Ability to deal tactfully and courteously with employees, students, and parents;
- Ability to routinely multi-task;
- Ability to deal with a variety of situations and problems under specified time constraints;
- Ability to plan, organize, and develop work procedures and follow established routines;
- Experience with finance, accounting and/or bookkeeping practices and procedures to include bank account reconciliation, budgeting and expense coding, and payroll;
- Proficiency in word processing, spreadsheet, and database software; to include Microsoft Word, Excel, Outlook;
- Experience with School Funds Online desirable;
- Experience with accounts receivable, accounts payable, attendance, and/or payroll documentation and processing preferred.
